About the Role
This is much more than a reception position.
You will be the first impression of our clinic and play a key role in creating an exceptional patient experience from the first phone call through every visit.
You'll also help grow the practice by converting patient inquiries into consultations, supporting retail skincare sales, managing our social media presence, and building lasting patient relationships.

Responsibilities
Patient Experience
- Welcome patients in a warm, professional manner.
- Answer phone calls, emails, text messages, website inquiries, and social media messages.
- Schedule consultations, treatments, recalls, and follow-up appointments.
- Manage provider schedules to maximize productivity.
- Check patients in and out.
- Process payments and retail sales.
- Maintain accurate patient records using our practice management software.
- Assist physicians and treatment providers throughout the day.
- Maintain a beautiful, organized reception and retail area.
Customer Service & Sales
- Respond quickly to new patient inquiries.
- Educate prospective patients about treatments and skincare.
- Help convert inquiries into consultations.
- Recommend physician-grade skincare products.
- Promote monthly promotions and treatment packages.
- Follow up with prospective patients who have not yet booked.
- Contact inactive patients and support recall campaigns.
- Encourage satisfied patients to leave Google reviews.
- Help achieve clinic goals for consultation bookings, retail sales, patient retention, and rebooking.
Social Media & Marketing
- Create engaging content for Instagram, Facebook, TikTok, and other platforms.
- Capture photos and videos within the clinic (with patient consent).
- Coordinate before-and-after photography.
- Schedule and publish social media posts.
- Respond professionally to online comments and messages.
- Assist with promotions, events, and email marketing.
- Work with leadership to grow our online presence and attract new patients.

Qualifications
Required
- Minimum 2 years of experience in medical aesthetics, cosmetic medicine, plastic surgery, dermatology, dental, hospitality, luxury retail, or another customer-focused environment.
- Outstanding customer service and relationship-building skills.
- Demonstrated sales experience with the confidence to recommend treatments and skincare products.
- Experience managing business social media accounts, particularly Instagram and Facebook.
- Experience using Meta Business Suite to schedule posts, manage messages, and monitor engagement.
- Comfortable capturing high-quality photos and short videos using a smartphone.
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High level of computer proficiency.
- Experience using mSpa or similar clinic software, or the ability to learn quickly.
- Positive, professional attitude with exceptional attention to detail.
- Self-motivated with a genuine "can-do" attitude and the ability to think critically while balancing outstanding patient care with business goals.
Preferred
- Medical aesthetics experience.
- Knowledge of physician-grade skincare.
- Experience creating simple graphics or videos using Canva or similar tools.
- Familiarity with social media analytics and content planning.
- Post-secondary education in business, marketing, communications, healthcare administration, or a related field.
