The CAO is a delegated administrative authority that supports condo living and enhances consumer protection by providing services and resources that reach condominium communities across Ontario. We are accountable to the government through an Administrative Agreement with the Minister of Public and Business Service Delivery and Procurement. The seven-member board of directors provides strategic guidance and oversight for the organization.

We value flexibility and have adopted a hybrid work model in which staff work remotely 2 days per week and in the office 3 days per week.
Role Purpose
As a Co-op/Intern focused on AI adoption at CAO, you will gain hands-on experience learning how business processes are analyzed, where AI can add value, and how tools such as Microsoft Copilot can be introduced in a practical and responsible way. Working with the Director, IT Services & Cybersecurity and business stakeholders across the organization, you will support initiatives that help teams explore and adopt AI-enabled ways of working.
This is an opportunity to learn in a modern, public-sector environment that is advancing AI adoption in a practical and governed way. You will help assess opportunities for Copilot and other approved AI tools, support the development of workflows and guidance materials, contribute to training and communication activities, and assist with initiatives such as an AI Champion program that encourages staff learning and adoption.

Main Role Responsibilities
Business Engagement & AI Workflow Adoption
- Business Discovery: Assist with gathering information from departments and stakeholders to understand current business processes, recurring pain points, and opportunities where Microsoft Copilot or other approved AI solutions may improve efficiency, quality, or user experience.
- Copilot Adoption Support: Assist with the rollout and adoption of Microsoft Copilot and related AI tools by helping document use cases, map workflows, gather feedback, and support business teams during onboarding and early adoption.
- Workflow Improvement: Help document and support the refinement of AI-enabled workflows that align with business needs, improve productivity, and support responsible adoption of Copilot and other approved AI solutions.
- Stakeholder Support: Assist users and business teams by helping answer questions, collecting issues and enhancement ideas, and coordinating follow-up actions related to AI adoption activities and workflow improvements.
Training, Change Enablement & Governance
- Training Development: Help create user-friendly training materials, quick reference guides, presentations, and awareness content to support Copilot adoption, AI literacy, and day-to-day use of approved AI tools.
- AI Champion Program Support: Assist with activities related to an AI Champion program by helping coordinate engagement sessions, share best practices, and support peer learning across business units.
- Responsible AI & Governance Support: Assist with documenting guidance and helping ensure AI adoption activities align with organizational policies, privacy expectations, security requirements, and responsible use practices.
- Adoption Measurement & Knowledge Sharing: Help track adoption activities, summarize user feedback, document lessons learned, and contribute to reports or presentations that show progress and opportunities for improvement.
Collaboration, Communication & Continuous Improvement
- Cross-Functional Collaboration: Work with business units, IT, cybersecurity, and other stakeholders to support AI adoption initiatives and learn how solutions are aligned with organizational priorities.
- Communication & Facilitation: Help facilitate meetings, workshops, demos, and feedback sessions to understand business needs, explain AI capabilities in plain language, and support successful adoption.
- Continuous Improvement: Help identify recurring challenges, gaps in adoption, and process improvement opportunities, and support practical recommendations to strengthen AI usage across the organization.
- Documentation: Maintain clear documentation for use cases, workflows, training materials, meeting notes, adoption guidance, and recommendations arising from AI initiatives.

- Perform additional duties as assigned in support of AI adoption, business enablement, and continuous improvement initiatives.
Qualifications, Skills & Knowledge
Education
- Currently enrolled in a program such as Business Technology Management, Information Systems, Business Analysis, Public Administration, Communications, Organizational Change, Computer Science, or a related field.
- Open to students at any year level who can demonstrate strong interest in AI adoption, digital tools, and business process improvement.
AI Interest & Adoption Support (Must-Have)
- Genuine interest in AI, Microsoft Copilot, automation, and how digital tools can improve business processes and user productivity.
- Exposure through academic, volunteer, personal, or co-op experience to AI tools, workflow automation, process improvement, research, or digital adoption activities is an asset.
- Willingness to learn how to evaluate AI use cases, document workflows, support responsible adoption, and communicate practical guidance to business users.
Business, Digital & Analytical Skills
- Ability to understand and document business processes, user needs, and workflow requirements.
- Strong skills in Microsoft 365 applications such as Word, Excel, PowerPoint, Teams, and Outlook; familiarity with Copilot, Power Platform, or similar tools is an asset.
- Ability to create clear documentation, guides, presentations, and training materials for technical and non-technical audiences.
- Strong research, organization, and analytical skills, with the ability to summarize findings, identify patterns, and support recommendations under guidance.
Nice to Have
- Familiarity with Microsoft Copilot, ChatGPT, Power Automate, Power Apps, or other AI and automation tools.
- Exposure to change management, training coordination, communications planning, or user adoption support.
- Awareness of privacy, security, accessibility, or responsible AI considerations in a workplace environment.
- Experience facilitating workshops, presentations, or peer support activities in academic, volunteer, or work settings.
- An interest in public service, digital transformation, service improvement, or innovation in a mission-driven organization.
