Position Summary
As the Physiotherapy Aide Lead, you will play a key role in supporting daily physiotherapy operations while leading, coaching, and supporting the Physiotherapy Aide team. This role serves as the primary team-level point of contact for PTA scheduling, staffing, training, clinical support workflows, equipment coordination, and compliance. You will foster a positive team culture, ensure alignment with Group23 standards, and help deliver a consistent, high-quality patient and provider experience in a fast-paced sports medicine environment. This role works closely with the Multidisciplinary Manager and escalates operational, staffing, performance, privacy, or clinical process concerns as required.
Duties and Responsibilities
Operational Leadership
Oversee daily Physiotherapy Aide (PTA) operations to support efficient patient flow, provider support, scheduling, and treatment-related workflows.
Act as the primary team-level contact for operational issues affecting PTAs, providers, equipment, or patient support services.
Ensure standardized clinical support processes, documentation standards, and administrative workflows are consistently followed.
Monitor team performance indicators, staffing trends, and operational challenges, escalating risks, or concerns as required.
Support implementation of departmental goals, best practices, and continuous improvement initiatives.
Team Leadership & Staff Support
Provide day-to-day supervision, coaching, guidance, and support to Physiotherapy Aides.
Set clear expectations, promote accountability, and foster a positive, patient-focused team culture.
Deliver orientation, ongoing training, and performance coaching to support team development and consistency.
Conduct performance discussions and contribute to performance management activities as required.
Escalate performance, staffing, or process concerns to the Multidisciplinary Manager as appropriate.
Support recruitment, onboarding, and student placement activities in collaboration with leadership and Human Resources.
Scheduling, Coverage & Resource Coordination
Develop and manage PTA schedules to ensure appropriate coverage across provider and patient care needs.
Adjust staffing plans based on operational demands, absences, clinic volumes, and rehabilitation service requirements.
Review and approve routine schedule changes and time-off requests in accordance with departmental needs.
Assist with workforce planning, staffing forecasts, and resource requirements to support efficient operations.
Equipment, Resources & Clinical Support Operations
Oversee rehabilitation equipment inventory, maintenance schedules, warranty tracking, and replacement planning.
Coordinate equipment procurement, repairs, vendor communications, and service requirements.
Support ordering and management of clinical supplies required for physiotherapy operations.
Ensure PTAs provide consistent treatment support aligned with provider direction and organizational standards.
Compliance, Privacy & Occupational Health & Safety
Promote compliance with privacy legislation, organizational policies, clinical procedures, and patient experience standards.
Conduct and support privacy compliance activities, including regular audits and incident reporting as required.
Ensure appropriate use and documentation within electronic medical record systems and designated treatment support programs.
Support compliance with Occupational Health & Safety requirements, infection prevention protocols, and workplace safety practices.
Training, Continuous Improvement & Quality Support
Support onboarding, skills development, and ongoing training initiatives for the PTA team.
Identify opportunities to improve clinical support workflows, operational efficiency, and patient experience outcomes
Participate in departmental quality improvement initiatives and process optimization efforts.
Compile and review operational data, performance indicators, and project updates to support decision-making and continuous improvement.
KNOWLEDGE, SKILLS, AND ABILITIES (KSAs):
Knowledge:

Privacy legislation for healthcare and business operations; internal privacy policies and procedures.
Occupational Health and Safety (OHS) and Infection Prevention and Control (IPAC) standards.
Understanding of human anatomy, movement patterns, and physical demands analysis.

QUALIFICATIONS
Completion of a recognized Physiotherapy Aide (PTA), Occupational Therapist Assistant/Physiotherapy Assistant (OTA/PTA), Rehabilitation Assistant, Kinesiology, or other health-related post-secondary program.
Additional education in leadership, business, healthcare administration, or human resources is considered an asset.
1-3 years of experience in a physiotherapy, rehabilitation, sports medicine, or healthcare environment.
Previous experience leading, mentoring, training, or supervising staff is preferred.
Strong leadership, communication, coaching, and problem-solving skills.
Working knowledge of privacy legislation, Occupational Health & Safety (OH&S), Infection Prevention and Control (IPAC), and healthcare operational practices.
Experience using electronic medical records (EMRs), scheduling systems, inventory management systems, and Microsoft Office applications.
Strong organizational skills with the ability to coordinate staffing, equipment, workflow priorities, and multiple competing demands.
ADDITIONAL REQUIREMENTS
Police Information Check required upon hire and as requested.
Privacy training for healthcare settings is provided.
CPR certification is considered an asset.
Customer service and client de-escalation training are considered assets.
