Accounts Payable Manager

About the Role
We’re looking for an Accounts Payable Manager to support our retail operations.
The successful candidate is detail-oriented, proactive, and committed to delivering a best-in-class accounts payable function. This role is responsible for managing high-volume accounts payable, maintaining strong vendor relationships, and supporting month-end close activities. Working closely with finance and cross-functional teams, the successful candidate will help ensure the accuracy, efficiency, and integrity of the accounts payable process.
What You’ll Do
· Manage the accounts payable function for high-volume retail, ensuring timely, accurate, and compliant processing of vendor invoices, purchase order matching, and employee expense claims.
· Review, verify, and process invoices by assigning appropriate general ledger accounts, cost centres, and department allocations while ensuring compliance with company policies and accounting standards.
· Manage the vendor payment cycle, including weekly payment runs, electronic funds transfers (EFTs), cheques, and corporate credit cards, balancing vendor relationships with cash flow objectives.
· Build and maintain strong relationships with vendors and service providers, serving as the primary point of contact for accounts payable inquiries and payment-related issues.
· Oversee vendor onboarding and master data management, including new vendor setup, banking information, tax documentation, credit applications, and ongoing maintenance to ensure data accuracy and compliance.
· Monitor vendor statements, reconcile accounts, investigate discrepancies, and ensure timely resolution of outstanding balances to maintain strong supplier relationships and uninterrupted product supply, while partnering with store operations and internal shared services.
· Analyze accounts payable aging, identify trends, payment risks, and process bottlenecks, and recommend improvements to support operational efficiency and working capital objectives.
· Prepare month-end accruals, account reconciliations, and supporting schedules related to inventory purchases, freight, rebates, and other operating expenses to support accurate financial reporting.
· Ensure compliance with internal controls, company policies, procurement procedures, sales tax requirements, and audit standards.
· Collaborate with Finance leadership on cash forecasting, payment planning, vendor terms optimization, and initiatives that support profitability and operational performance.
· Support annual external audits and internal audit activities by preparing documentation, reconciliations, and responding to audit requests.
· Prepare management reports, vendor spend analyses, payment metrics, and other ad hoc financial reporting to support business decision-making.
· Perform additional duties and projects as assigned.
What You Bring
· Bachelor’s degree in accounting, finance, business administration, or related field; an accounting diploma or equivalent combination of education and experience will be considered.
· Minimum of five years of progressive accounts payable experience, preferably in a highly volume environment. Experience in retail or grocery is an asset.
· Experience leading or managing accounts payable is preferred.
· Demonstrated experience actively participating in the full accounts payable cycle, including invoice processing, three-way matching, vendor reconciliations, payment processing and month-end accruals.
· Experience building and maintaining strong vendor relationships resolving invoice, payment discrepancies in a professional and timely manner.
· Strong understanding of accounting principles, internal controls and accounts payable best practices.
· Strong analytical and problem-solving skills with strong attention to detail.
· Excellent communication and interpersonal skills with the ability to work collaboratively with senior management and across departments.
· Strong systems aptitude with experience using ERP systems and Microsoft Excel; Microsoft Dynamics 365 is strongly preferred.
· A proactive mindset with a willingness to learn, take initiative, and continuously improve processes.
· Ability to manage multiple priorities, meet deadlines, and work independently in a fast-paced environment.
