Luxury Move Management is a trusted moving lifeline, supporting clients through complex residential moves, life transitions, relocations, downsizing and estate clear-outs.

We are seeking a highly organized, proactive and detail-oriented Client Care & Marketing Coordinator to join our Core Team.

This is a dynamic role supporting our Sales and Marketing functions, while also providing administrative and client care support across the business. The ideal candidate enjoys variety and can move easily between operational, client-facing, administrative and creative tasks. You may be responding to a client email one minute, updating our CRM the next, preparing a sales presentation, creating an Instagram graphic or coordinating an upcoming industry event.

Accuracy, professionalism and follow-through are essential. We are looking for someone who takes ownership of their work, anticipates what needs to happen next and can be trusted to see tasks through from start to finish.

Key Operational Responsibilities

● Calendar management and scheduling (Google Calendar and QuickBooks)

● Client email and phone communication

● Payment and invoice processing

● Maintain accurate CRM and sales pipeline information

● Communicate with clients to ensure expectations and requirements are understood and met

● Calmly and professionally handle client concerns

● Oversee on-site move operations, proactively managing logistics, sequencing and vendor coordination to ensure the day runs efficiently and according to plan

Key Marketing Responsibilities

● Assist with the execution of ongoing marketing initiatives

● Gather and create content for Instagram

● Update marketing materials including flyers, presentations and promotional assets

● Assist with the preparation, formatting and scheduling of newsletters and email campaigns

● Use Canva to create polished, on-brand marketing materials and social media graphics/videos

● Provide general administrative and project support to the Sales & Marketing Coordinator

On-Site & Event Support

While primarily remote, this role includes regular in-person responsibilities throughout the GTA, including:

● Weekly in-person team meetings

● On-site packing shifts on a regular basis as needed

● Client consultations

● Occasional move supervision shifts

● Industry events, networking functions and company-sponsored events

● Other in-person meetings or business activities as required

Key Sales Responsibilities

● Schedule and attend consultations in clients’ homes

● Prepare and send estimates following consultations

● Qualify leads and understand client needs to recommend appropriate services

● Assist with onboarding new clients through personalized communication

● Adaptable and collaborative. You are comfortable moving between administrative, client-facing, sales and creative tasks and enjoy contributing wherever you're needed.

● Positive and growth-minded. You bring a can-do attitude and are always looking for ways to improve systems, strengthen the team and help the business grow. You take accountability and do not get defensive.

Regular working hours are Monday to Friday, 9:00 a.m. to 5:00 p.m., with occasional flexibility outside of these hours when business needs require it.

Pay: From $60,000.00 per year
