Job Summary:

The Event Planner reports directly to the Communications Supervisor and is responsible for planning, coordinating, and delivering a wide range of events, fundraising initiatives, and community engagement activities that primarily support Athabasca Tribal Council’s (ATC) Child and Family Services (CFS) programs.

Working collaboratively with the Communications Supervisor, the Director of Child and Family Services, CFS leadership, Member Nations, and external partners, the Event Planner develops and delivers culturally meaningful events that strengthen relationships with children, youth, families, Elders, communities, sponsors, and partner organizations. The Director of Child and Family Services provides strategic direction regarding CFS program priorities and community engagement initiatives, while the Communications Supervisor provides day-to-day operational leadership and supervision.

The Event Planner coordinates and implements all aspects of event planning including concept development, budgeting, logistics, vendor management, grant writing, sponsorship development, fundraising, onsite delivery, and post-event evaluation to support Child and Family Services prevention, family wellness, cultural connection, community engagement, and program sustainability. The position ensures events and fundraising initiatives are delivered professionally and safely respecting Indigenous cultural values, and community needs.

Duties and Responsibilities:

· Coordinate and deliver CFS prevention, protection, family engagement, cultural, educational, fundraising, and community events.

· Develop and maintain the annual CFS events calendar in collaboration with CFS leadership, Member Nations, and other key partners to align with community needs and organizational priorities.

· Coordinate event concepts, budgets, timelines, venues, registration, transportation, accommodations, catering, audiovisual services, vendors, volunteers, onsite delivery, and contingency planning.

· Build collaborative relationships with Member Nations, sponsors, funding agencies, government partners, community organizations, vendors, volunteers, and other stakeholders.

· Research, prepare, and submit grant applications, funding proposals, sponsorship packages, and partnership opportunities supporting CFS programs, events, cultural activities, and special projects.

· Collaborate with the Communications Supervisor to develop event promotions, invitations, public awareness and fundraising campaigns, social media content, and culturally appropriate messaging.

· Monitor budgets and maintain accurate contracts, grant and sponsorship files, inventories, and event documentation; prepare operational, funding, and post-event reports.

· Evaluate events, fundraising, and engagement outcomes using attendance, participant feedback, financial results, sponsorship performance, and other measures to support accountability, improvement, and future funding.

· Work with Occupational Health and Safety personnel and program leads to ensure events are culturally respectful, trauma-informed, accessible, safe, and compliant with organizational policies and risk-management requirements.

· Participate in organizational planning, cross-departmental initiatives, community and partner events, and continuous improvement activities supporting CFS programming and operations.

· Perform other related duties as assigned in support of Child and Family Services and organizational objectives.

Qualifications and Skills:

· Post-secondary diploma or degree in Event Management, Hospitality, Marketing, Communications, Public Relations, Business Administration, Non-Profit Management, or a related field.

· Four to six years of progressive experience planning and delivering corporate, community, Indigenous, cultural, fundraising, or social-service events.

· Experience working with Indigenous communities, Child and Family Services, community development, non-profit, or public-sector programs is a strong asset.

· Demonstrated experience preparing grant applications, funding proposals, sponsorship packages, reports, coordinating fundraising campaigns, or community fundraising events.

· Strong knowledge of culturally safe, trauma-informed, family-centered, and community-based engagement practices.

· Strong project management, event planning, budgeting, fundraising, administrative, organizational, problem-solving, and time-management skills, with the ability to manage competing priorities and adapt in a fast-paced environment.

· Excellent interpersonal, relationship-building, facilitation, customer service, written and verbal communication skills.

· Proficiency in Microsoft Office Suite; experience with event, donor, registration, project management, and grant-reporting systems is an asset.

· Knowledge of Cree and/or Dene language and culture is considered an asset.

Requirements:

· Clear Criminal Record with Vulnerable Sector Check.

· Clear Child Intervention Record Check.

· Class 5 License with a clear Drivers Abstract.

· Availability to travel and work outside of business hours when necessary.
