An Ophthalmic/Administrative Assistant holds a position that is flexible, encompassing clinical, administrative and operational duties throughout the clinic. Employees will work in different roles across the clinic as needs arise. Responsibilities may evolve over time, and roles are flexible to support both clinic operations and professional growth. While no position is fixed permanently, employees may remain in a particular area for as long as it suits both the clinic and their development.
Duties and Responsibilities not limited to (Cross-Training and Role Sharing)
Employees will participate in cross-training and role sharing across all areas of the clinic, including but not limited to:
Clinical Duties:
- Assist physicians
- Preform Diagnostic imaging (HVF, OCT, HRT, AR, Lensometry, Anterior Segment, Fundus Photography, tonometry, Pachymetry, Ultrasound)
- Patient work ups (History taking, Visual Acuity, Tonometry, procedure preparation)
- Provide technical support as required
- Assist in scribing and documenting in patient charts
- Assist in procedures and laser procedures
- Provide patient education
Administrative Duties:
- Reception and patient check-in
- Triage patient concerns
- Patient communications via in-person, email, phone
- Booking and rescheduling appointments
- Handling patient inquiries, payments, and billing
- Managing document scanning, faxing, and uploads
Surgical and Support Duties:
- Assist with surgical prep and patient coordination
- Preparing Surgical Charts
- Scheduling patient appointments
- Communications with patients
- Complete paperwork associated with surgical procedures
- Support workflow in various departments based on clinic needs
Flexibility:
- Employees may rotate between roles or remain in a specific area depending on clinic volume and operational requirements.
- Duties are subject to change to meet the needs of the clinic.
- Employees may be assigned to different roles across the clinic as needed. Responsibilities can change frequently, and no position is permanently assigned.
Basic Qualifications:
- Proficient Computer skills (Windows/Excel)
- Proven good interpersonal and communication skills.
- Able to perform effectively in a fast-paced environment with physical demands suchs as standing, walking and occasional lifting. The applicant must be able to meet the physical requirements of the position.
- Able to function independently as well as interdependently.
- Demonstrated commitment to ongoing education and upgrading of skills.
DESIRED QUALIFICATIONS:
- Certified Ophthalmic Assistant (COA) or higher, under the Joint Commission on Allied Health Personnel in Ophthalmology (JCAHPO).
- Recent related experience in ophthalmology.
- Knowledge of ophthalmic anatomy and physiology.
- Knowledge of medical terminology.
- Experience with a medical EMR, ACCURO preferred.
