We require a Bookkeeper/Office Manager who can progress to Operations Manager. With the support of senior leaders, this person will be able to immediately begin engaging and directing staff activities through planning, and facility management.
Your knowledge of processes and food safety programs will be very useful.
Your skills with Microsoft Office will help you organise and manage daily operations
Care Bakery operates 4 10-hour shifts weekly. This position will progress to 8-hour day, approx. 40 hours per week.
Job Summary:
The Office Manager/Bookkeeper (OMB) is responsible for the day to day operations of the bakery;
Receiving and coordinating customer orders with current requirements for ingredients, facility and staff.
Tracking the results to ensure all stakeholders are compensated and creating the financial records for tax and management reporting for executive strategy.
Nothing happens without a touch from the OMB.
Office Administration & Customer Service
- Own the full accounting cycle (AP, AR, GL, month-end, year-end)
- Manage daily office administration and general coordination tasks
- Process customer orders, invoices, and related documentation
- Handle phone and email communications with customers and suppliers
- Maintain organized filing systems, records, and reports
- Order office supplies and support general administrative needs
Financial Management & Reporting
Using QuickBooks desktop;
- Own the full accounting cycle (AP, AR, GL, month-end, year-end)
- Prepare monthly financial statements, management reports. Prepare weekly cash-flow forecasts
- Oversee revenue recognition, accruals
- Lead full month-end close: journal entries, accruals, reconciliations
- Prepare monthly financial statements and margin variance reports for Controller review.
- Work with banks, lenders, and external accountants
- Manage AR collections and credit risk
- Optimize AP terms and payment scheduling
- Maintain strong internal controls and fraud prevention
Production Management
- Use existing excel spreadsheets to enter customer orders and plan weekly production requirements.
- Produce ingredient and packaging supply ordering reports
- Negotiate and place supply orders as required.
- Provide input into continuing improvements to existing financial and operational tracking and reporting systems
- Other related duties as assigned.
Leadership & Collaboration
- Work closely with operations, food safety, and executives
- Translate financial data into clear, actionable insights
Logistics & Coordination Support
- Coordinate shipping and freight paperwork
- Assist with scheduling and delivery documentation
- Support inventory tracking and order accuracy
- Liaise with internal team members to ensure smooth order flow
Bakery Support
- Provide support related to production scheduling communication
- Assist with documentation related to bakery output and inventory
- Support food safety recordkeeping (HACCP/SQF documentation)
- Backup food safety
Requirements:
- Strong financial acumen
- People driven – team development and building relationships across functions
- Proven experience as an Office Administrator, Administrative Assistant, or similar role
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- 5+ years of experience in the manufacturing industry, preferably in food manufacturing.
- Accounting designation
- Solid understanding of food industry economics
- Ability to work independently and as part of a team.
- Strong problem-solving skills
- Strong attention to detail and highly organized
- Strong communication, analytical and troubleshooting skills with the ability to make timely decisions associated with process upsets.
- Adaptive work style with an ability to handle multiple priorities, challenging demands and function positively in a dynamic collaborative work environment.
- Communicates well and deals professionally with all levels of contacts (internal and external)
- Experience in logistics, freight forwarding, transportation, warehousing is an asset
- Experience in food manufacturing, distribution, or bakery environments is an asset
- Background in baking or bakery production is considered a strong asset
- Familiarity with food safety systems (HACCP/SQF) is required
