About the Role
Reporting to the Retail and National Sales Manager, you will streamline and support all sales efforts — presentations, sales documents, contracts, campaign facilitation, CRM/database maintenance, marketing support, and sales and marketing reporting. You will play a key role in the company’s continued growth, client service, and client retention.
The role is approximately 65% Sales Support, 20% Marketing, and 15% assisting the Sales Manager.
Key Responsibilities
Sales Coordination & Proposal Support
- Prepare proposal materials and coordinate campaign planning throughout the pre-sales process
- Research and compile facility inventories and availability for client proposals
- Develop proposal mapping for retail, agency, and corporate campaigns
- Create compelling advertising mock-ups and help develop the company’s mock-up program
- Plan and coordinate educational seminars and presentations for agency partners
- Conduct campaign and market research to strengthen client proposals
- Manage sales opportunities, pipeline progression, and account data in Microsoft Dynamics 365 (CRM)
Contract Administration & Campaign Setup
- Assist in preparing and executing retail, agency, and corporate advertising campaigns
- Prepare, review, and enhance client-facing contracts and sales documentation
- Develop operational campaign documentation, including Work-in-Progress (WIP) reports, for seamless handoffs to operations
Campaign Execution & Production
- Maintain and update advertising inventory databases for partner venues
- Review and approve client artwork (static and digital) for quality and compliance
- Create or edit client artwork using CorelDRAW, Canva, or similar design software
- Develop and maintain advertising specification sheets for existing and new media formats
- Coordinate with external print vendors and creative partners
- Manage pro bono and donated advertising initiatives
- Monitor trade partnerships, campaign timelines, and contract expirations with management
Client Support, Reporting & Sales Operations
- Prepare professional campaign recap reports and performance summaries for clients and sales reps
- Support client retention initiatives and ongoing account management
- Prepare bi-weekly sales meeting presentations: performance and goal tracking, pipeline reporting, rep performance, process updates, and training materials
- Coordinate production and distribution of sales support and retention materials
- Research new software and technology to improve sales productivity, lead generation, and marketing automation
- Assist with client appreciation and seasonal retention initiatives
Marketing — Digital, Website & Brand
- Manage inbound marketing leads alongside the Sales Manager
- Maintain and update the company website (WordPress and Elementor); coordinate enhancements with hosting and web development partners
- Collaborate with SEO specialists to improve visibility and search rankings
- Coordinate monthly blog development with external content specialists
- Develop, execute, and manage social media strategy; create, schedule, publish, and monitor content; report on performance
- Develop and maintain the annual marketing calendar and assist with the annual marketing budget
- Coordinate industry conferences, sponsorships, and networking events
- Manage email marketing campaigns through Mailchimp
- Coordinate video production projects, including editing and content development
- Work with leadership to evaluate and implement AI-driven marketing tools
- Design and update marketing collateral; prepare monthly marketing reports for leadership
Qualifications & Skills
- Degree or Diploma in Marketing, Communications, or equivalent
- Minimum 2 years of marketing experience
- Proficient in Microsoft platforms (Outlook, Word, Excel, PowerPoint, SharePoint, OneDrive)
- Proficient in design platforms (Canva, CorelDRAW, Adobe Creative Suite, etc.)
- Understanding of social media channels (Instagram, Facebook, LinkedIn) and analytics/reporting tools
- Strong organizational skills; able to manage multiple priorities and deadlines
- Excellent written and verbal communication skills; detail-oriented with a high level of accuracy
- Proactive and solutions-focused; works well independently and collaboratively
- Valid Driver’s License required
- Experience with Microsoft Dynamics CRM, sales-oriented organizations, proposal creation, and graphic design are assets

Pay: $48,000.00-$56,000.00 per year
