VB Education Consulting is seeking a detail-oriented, organized, confident, and results-driven Sales & Administrative Assistant to join our growing team.
This position combines sales, lead follow-up, customer service, front-desk support, and administrative responsibilities. The successful candidate will play an important role in contacting prospective students, following up with new and existing leads, scheduling appointments, supporting the enrollment process, and ensuring smooth day-to-day office operations.
The ideal candidate is comfortable making outbound calls, speaking with new people, building professional relationships, and consistently following up with prospective clients. Strong administrative skills, computer proficiency, attention to detail, and excellent communication skills are essential.

Duties and ResponsibilitiesSales, Lead Calling & Follow-Up
- Contact new and existing leads by phone, text, email, and other approved communication channels.
- Make outbound calls to prospective students who have expressed interest in educational programs and services.
- Respond promptly and professionally to incoming inquiries.
- Conduct initial conversations to understand each prospective student's educational goals, interests, and needs.
- Provide general information about available programs, services, scholarships, funding options, and the enrollment process.
- Schedule consultations, assessments, and appointments for prospective students.
- Consistently follow up with leads and maintain communication throughout the enrollment process.
- Reconnect with inactive, previous, or unresponsive leads when appropriate.
- Maintain accurate records of all calls, communications, appointments, and follow-up activities.
- Work toward individual and team goals related to calls, appointments, follow-ups, and successful enrollments.
- Build positive relationships with prospective and current students while maintaining a professional and respectful approach.
- Support sales activities by preparing reports, tracking leads, and assisting with client communication.
Administrative & Office Support
- Manage front-desk responsibilities, including greeting visitors and assisting students and clients in a professional and welcoming manner.
- Answer incoming phone calls and maintain professional phone etiquette.
- Perform accurate data entry using Microsoft Office, Google Workspace, CRM systems, spreadsheets, and other company platforms.
- Maintain organized digital and physical filing systems to ensure documents can be easily and securely retrieved.
- Schedule appointments and assist with managing consultant and team calendars.
- Collect, organize, review, and follow up on required student documents.
- Prepare correspondence, emails, forms, reports, and other administrative documents.
- Proofread documents and communications for accuracy and professionalism.
- Assist with filing, scanning, copying, document management, and general office duties.
- Update student, client, and lead information accurately and in a timely manner.
- Communicate with students and internal team members regarding application progress, appointments, and outstanding requirements.
- Provide administrative support to management and other team members as required.
- Maintain confidentiality and protect student, client, employee, and company information.
Customer Service
- Provide exceptional customer service to prospective and current students.
- Assist clients with general inquiries and direct them to the appropriate team member when necessary.
- Maintain a positive, professional, patient, and respectful attitude when communicating with clients.
- Help ensure that inquiries and follow-up requests are addressed in a timely manner.
- Support students throughout the initial inquiry, assessment, application, and enrollment process.
- Handle concerns professionally and escalate complex matters to management when necessary.
Basic Financial & Bookkeeping Support
- Assist with basic administrative financial tasks, including invoicing, billing, payment tracking, and recordkeeping, as assigned.
- Experience with QuickBooks or similar accounting software is considered an asset.
- Maintain accurate records and supporting documentation for financial transactions.
- Follow company procedures regarding confidential financial information and payment-related matters.
Experience & Qualifications
The successful candidate should have:
- Previous experience in sales, customer service, telemarketing, lead generation, admissions, front-desk operations, clerical work, or administration.
- Previous office experience is preferred.
- Confidence and comfort making outbound calls and speaking with prospective clients.
- Strong verbal and written communication skills.
- Excellent professional phone etiquette.
- Strong customer service and relationship-building skills.
- Experience with Microsoft Office, including Word and Excel.
- Experience with Google Workspace, including Gmail, Google Drive, Google Docs, and Google Sheets.
- Experience with data entry and maintaining accurate records.
- Experience using CRM systems is considered an asset.
- Experience with QuickBooks or similar bookkeeping software is considered an asset.
- Familiarity with multi-line phone systems is an asset.
- Previous experience in a medical, dental, education, admissions, or professional office environment is considered an asset.
- Strong organizational and time-management skills.
- Excellent attention to detail and proofreading abilities.
- Good typing speed and computer proficiency.
- Ability to multitask and manage competing priorities in a fast-paced environment.
- Ability to work independently while also contributing effectively to a team.
- Willingness to learn about educational programs, admissions processes, student services, scholarships, and available funding options.
