Job Summary
Mastermind Youth Foundation is seeking a highly organized, detail-oriented, and proactive Part-Time Administrative Assistant to support the delivery and promotion of our education, training, and workforce development programs.
The successful candidate will play a key role in supporting day-to-day operations, communications, participant registrations, marketing initiatives, and administrative activities across multiple programs. This role requires a strong customer service mindset, excellent organizational skills, and the ability to manage a variety of tasks in a fast-paced environment.
The ideal candidate enjoys working with people, is comfortable using a variety of digital tools and platforms, and takes pride in helping programs run smoothly and efficiently.
Key Responsibilities
Administrative Support
- Provide administrative support for organizational programs, projects, and events.
- Schedule meetings, appointments, and program-related activities.
- Maintain accurate records, databases, and participant information.
- Prepare, organize, and file documents and reports.
- Process receipts, expense submissions, and mileage claims.
- Assist with data entry and general office administration.
- Support program staff with day-to-day operational tasks as required.
Registrations & Customer Service
- Manage participant registrations and maintain registration records.
- Respond to inquiries from students, families, educators, partners, and community stakeholders.
- Distribute program information and supporting documentation.
- Coordinate communications related to program participation and scheduling.
- Ensure participants receive timely and professional customer service.
Marketing & Communications
- Assist with the creation, editing, and distribution of promotional materials, including flyers, brochures, presentations, and digital marketing content.
- Support social media activities across organizational platforms.
- Schedule and publish social media content.
- Assist with updating website and online program information.
- Help promote programs, events, workshops, and special initiatives.
- Monitor and track marketing and outreach activities as required.
Program & Event Support
- Assist with planning and coordination of workshops, training sessions, and community events.
- Support communications with schools, community organizations, and program participants.
- Prepare registration materials, participant packages, and event resources.
- Assist with program logistics and follow-up activities.
- Gather participant feedback and support program evaluation efforts.
Qualifications
- Postsecondary education in Business Administration, Office Administration, Marketing, Communications, or a related field, or an equivalent combination of education and experience.
- Previous experience in an administrative support role.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Ability to manage multiple priorities and work independently.
- Strong customer service and interpersonal skills.
Preferred
- Experience supporting educational, training, non-profit, or community-based programs.
- Experience with social media management and content creation.
- Familiarity with Adobe Creative Cloud, Canva or similar design software.
- Experience with participant registration systems, CRM software, or databases.
- Experience coordinating events, workshops, or community engagement activities.
- Knowledge of digital marketing and communications practices.
Compensation & Work Conditions
- Pay Rate: $17.60-$18.00 per hour
- Expected Hours: 20 hours per week
- Contract Length: 4 months with option to renew
- Work Location: On-site in Sarnia
