Customer Plant Administrator
Location: Hawkesbury, ON
Job Type: Full-Time, Permanent
Compensation: Starting at $21.50 per hour (based on experience)
Position Summary
Plant Administrator is responsible for providing exceptional customer service while supporting the day-to-day operations of the plant. This role acts as a key link between customers, office administration, and production teams to ensure customer requirements are met efficiently and professionally.
The successful candidate will possess strong customer service skills, advanced computer and Excel capabilities, and proven leadership experience. Working closely with the Plant Manager, this individual will assist with managing staff, production scheduling, inventory reporting, and operational planning.
This position requires participation in the plant's on-call rotation every second week and the ability to respond to operational and customer issues outside of regular business hours when required.
Key ResponsibilitiesCustomer Service & Account Management
- Serve as the primary point of contact for customers, maintaining professional and positive relationships.
- Respond to customer inquiries, requests, and concerns in a timely manner.
- Investigate, document, and resolve customer complaints while ensuring satisfactory outcomes.
- Maintain accurate records of customer communications, service requests, and resolutions.
- Communicate effectively with customers regarding scheduling, deliveries, service updates, and production requirements.
Operations & Production Support
- Assist with daily production scheduling and planning to ensure customer requirements are met.
- Monitor production activities and support operational efficiency throughout the facility.
- Complete daily quality inspections and plant audits.
- Assist the Plant Manager in coordinating workflow and staffing requirements.
- Work on the production floor as needed to support operations and meet business demands.
- Support inventory control processes and maintain accurate records.
Leadership & Team Supervision
- Provide daily direction, coaching, and support to Lead Hands and production employees.
- Assist the Plant Manager with employee supervision, performance management, and training initiatives.
- Help enforce company policies, procedures, and workplace expectations.
- Promote teamwork, accountability, and continuous improvement throughout the plant.
- Support recruitment, onboarding, orientation, and employee development activities.
- Act as a leadership resource for employees during the Plant Manager's absence.
Administrative & Reporting Responsibilities
- Create and maintain spreadsheets, production reports, inventory reports, and operational metrics.
- Utilize Microsoft Excel to analyze data, track trends, and prepare management reports.
- Submit and verify employee timecards while ensuring schedule compliance.
- Maintain accurate documentation and filing systems.
- Prepare daily, weekly, and monthly operational reports for management review.
- Assist with tracking maintenance activities and company assets.
Health & Safety
- Promote and enforce all company health and safety policies and procedures.
- Participate in safety training, workplace inspections, and incident investigations.
- Assist with employee safety orientations and ongoing safety initiatives.
- Ensure compliance with applicable workplace legislation and company standards.
On-Call Responsibilities
- Participate in a bi-weekly on-call rotation.
- Be available to respond to operational emergencies, staffing challenges, customer concerns, and urgent plant issues during evenings and weekends when scheduled.
- Provide support and leadership outside regular business hours as required.
Other Duties
- Perform other related duties as assigned by the Plant Manager or senior leadership team.
Qualifications & RequirementsRequired Experience
- Minimum 2 years of customer service experience in a manufacturing, operations, logistics, or service environment.
- Previous supervisory, team lead, or leadership experience.
- Experience handling customer complaints and problem resolution.
- Experience preparing reports and managing administrative tasks.
Technical Skills
- Advanced computer skills with strong proficiency in:
- Microsoft Excel (required)
- Microsoft Word
- Outlook
- Microsoft Teams
- Ability to create spreadsheets, reports, trackers, and analyze operational data.

- Bilingual (English/French) considered an asset.
