We are seeking an experienced and highly organized Administrative Assistant with strong property management knowledge and hands-on experience using Yardi software. This role is ideal for a proactive individual who thrives in a fast-paced environment and can effectively manage multiple priorities while serving as a key point of contact for tenants, vendors, and property managers.
Compensation

Salary Range: $40,000 – $60,000+ annually, depending on experience, Yardi proficiency, property management background, and overall qualifications.
Additional compensation and advancement opportunities may be available for candidates with extensive industry experience and proven performance.
Position Summary
The Administrative Assistant will play a critical role in supporting the daily operations of our property management portfolio. This position is responsible for coordinating tenant communications, scheduling maintenance and inspections, maintaining records within Yardi, assisting with lease administration, and ensuring efficient office operations across a large and diverse property portfolio.
The successful candidate must possess excellent communication skills, exceptional attention to detail, strong organizational abilities, and the capacity to manage a high volume of tenant interactions while maintaining a professional and customer-focused approach.
Key ResponsibilitiesTenant Communications
- Serve as the primary point of contact for tenant inquiries via phone, email, and in-person interactions.
- Respond promptly and professionally to tenant questions, concerns, and service requests.
- Coordinate communication between tenants, property managers, maintenance personnel, and contractors.
- Prepare and distribute notices, correspondence, lease-related documentation, and property updates.
- Maintain detailed records of tenant communications and interactions within Yardi.
Scheduling & Coordination
- Manage and coordinate maintenance requests, repairs, inspections, contractor visits, and property-related appointments.
- Schedule move-ins, move-outs, property inspections, and vendor services.
- Monitor work order progress and follow up to ensure timely completion.
- Coordinate calendars and scheduling requirements for property managers and operational staff.
- Communicate scheduling updates to tenants, contractors, and vendors as required.
Yardi Administration
- Maintain accurate tenant, lease, property, and vendor records within Yardi.
- Enter and update lease information, tenant data, and property records.
- Generate reports and assist with data management and portfolio tracking.
- Support rent collection processes and monitor account information.
- Assist with accounts payable and accounts receivable functions as needed.
- Ensure data integrity and accuracy across all Yardi records.
Administrative Support
- Assist with lease administration, renewals, notices, and related documentation.
- Prepare reports, spreadsheets, correspondence, and management summaries.
- Maintain organized electronic and physical filing systems.
- Support monthly operational reporting and document preparation.
- Assist with special projects and administrative initiatives as assigned.
- Provide day-to-day administrative support to property managers and senior leadership.
QualificationsRequired
- Minimum 3 years of administrative experience in property management, real estate, or a related field.
- Proven experience using Yardi property management software.
- Strong proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Excellent verbal and written communication skills.
- Exceptional organizational and multitasking abilities.
- Strong customer service and problem-solving skills.
- Ability to manage a high volume of tenant communications while maintaining professionalism and accuracy.
- Ability to work independently and prioritize competing deadlines.
Preferred
- Experience supporting large residential and/or commercial property portfolios.
- Knowledge of lease administration and property management processes.
- Experience coordinating vendors, contractors, and maintenance services.
- Basic accounting knowledge related to rent collection, accounts payable, and accounts receivable.
- Familiarity with landlord-tenant regulations and industry best practices.
