The Opportunity
We are seeking a skilled, dependable, and detail-oriented Legal Assistant to support our lawyers on a part-time basis. This is an excellent opportunity for a seasoned legal professional seeking consistent weekday hours in a collegial, multi-practice environment. The successful candidate will play a key role in keeping our files moving — from immigration and refugee applications to litigation matters and real estate closings.
Required Qualifications
- Minimum 5 years of legal assistant experience in Canada
- Strong proficiency in immigration and refugee law, including preparing and submitting applications to Immigration, Refugees and Citizenship Canada (IRCC) and the Immigration and Refugee Board (IRB), assembling supporting documentation, and tracking application timelines
- Solid litigation support experience, including drafting pleadings and motion materials, preparing court filings, managing court deadlines and limitation periods, and coordinating with court offices and opposing counsel
- Hands-on real estate experience, including purchases, sales, and refinances, title searches, requisitions, and preparing closing documents
- Familiarity with real estate and conveyancing software (e.g., Teraview, Unity/Conveyancer) is a strong asset
- Experience with Legal Aid Ontario billing and certificates is an asset
Key Responsibilities
- Prepare, review, and file immigration and refugee applications, forms, and submissions
- Draft and format court documents, correspondence, and real estate closing packages
- Open, organize, and maintain client files across multiple practice areas
- Monitor deadlines, limitation periods, and filing dates; maintain the firm's tickler system
- Liaise professionally with clients, courts, tribunals, IRCC, lenders, and other law offices
- Answer phones, schedule appointments and consultations, and greet clients
- Provide general administrative support to lawyers and assist with billing and file closing
What We're Looking For
- Exceptional organizational skills and the ability to juggle competing priorities across practice areas
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and respect for client confidentiality
- Proficiency with Microsoft Office (Word, Outlook, Excel) and legal practice management software
- A proactive, self-motivated team player who works well with minimal supervision
- Fluency in a second language is an asset, given our diverse clientele
