Most office manager jobs hand you a system and ask you to keep it running. This one hands you a busy, growing gutter installation company and asks you to help build the system.
Here's our situation, honestly: the owner is full-time into sales, because that's what grows the business. That means everything behind the sales — the scheduling, the quoting, the invoicing, the paperwork, the follow-up, the "did anyone order that material?" — needs one capable person to own it completely. Right now, some of it lives in spreadsheets, some of it lives in someone's head, and some of it doesn't exist yet.

Who You Are
You're the person who, at your last job, quietly rebuilt the filing system because the old one drove you crazy. You don't wait to be told what needs doing — you see it, you fix it, and you tell people about it afterward. You've probably been described as "the one who actually keeps this place running."
Specifically, you bring:
- A track record of taking charge. 3+ years running an office, ideally in construction, trades, or another small business where you wore several hats and nobody handed you a playbook.
- Comfort with systems and software. We're implementing Odoo as our all-in-one business platform. You don't need to know Odoo — you need to be the kind of person who can learn it, set it up around how we actually work, and make it stick. If you've ever set up or overhauled a CRM, accounting system, or scheduling tool, say so in your application.
- Real spreadsheet chops. Our quoting and job-costing currently runs on Excel. You should be comfortable with formulas and unafraid of a messy workbook.
- A head for numbers. Invoicing, AR/AP, basic bookkeeping, keeping an eye on job margins. QuickBooks or similar experience is an asset.
- People skills that work in the real world. You'll be the voice customers hear, the person crews check in with, and the one suppliers learn not to shortchange.
What You'll Actually Do
First 90 days: Learn how we operate, get your arms around the current spreadsheets and paperwork, and lead the Odoo rollout — quoting, job tracking, invoicing, customer records — configured for a gutter company, not a generic template.
After that: Run the show. Own the daily workflow from lead to final invoice. Keep jobs moving, cash flowing, and the owner free to sell. Spot the inefficiencies before they cost us money, and fix them without being asked.
This role has no ceiling on it. As the company grows, the person running its operations grows with it.

- Predictable, sane flexible hours. Monday to Friday, full-time, in the Cowichan Valley. Construction has busy seasons, but this is an office role — we're not asking for your evenings.
